Requirements

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Ensures calls that are urgent in nature get through to appropriate parties expeditiously. Takes messages or transfers calls to voice mail when appropriate personnel are unavailable.

Answers questions about organization and provides callers with address, directions, and other information.

Books and maintains guest room reservations. Notifies appropriate departments of guest room schedule. Checks guests in and out and collects payment.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Ensures visitors to staff members make contact with intended party. Monitors visitor access.

Maintains Resident Phone List and Resident Away List.

Accepts and logs pharmacy orders. Notifies residents of floral deliveries, pharmacy items and dry cleaning.

Responsible for maintaining cleanliness and professional look of concierge area.

Responsible for maintaining confidentiality of information (computer, paperwork, and medication) that is maintained at the front desk.

Takes information and produces work order requests for maintenance and housekeeping services using the WorxHub system.

Sells lunch tickets to staff.

Performs other clerical duties as needed, such as filing, photocopying, and faxing; maintaining basic Excel spreadsheets.

Education and/or Experience

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Computer Skills

To perform this job successfully, an individual should have basic knowledge of MS Outlook contact management systems; MS word processing software; Excel and internet search abilities.

Other Skills and Abilities

Must be able to speak, read and write fluent English. Must display a genuine interest in geriatrics and compassion for the aging.

Other Qualifications

Must have the ability to stay calm under pressure.
